How to bulk add participants to a review

Quickly and easily add participants to your review

This feature helps you to launch your review quickly by selecting your participants with the help of easy-to-use filters. This article will describe the process to help your review launch will go smoothly.

 

Access the bulk add to review tool

  1. Log in to the Super Admin view.
  1. Click on the ‘tools’ option on the left hand menu.
  1. Click on the ‘view’ button on the ‘bulk add to review’ tile.

This will bring up the ‘bulk add to review’ page.

Restricted admins can also use the ‘bulk add to reviews’ tool, within the restrictions of their admin access. The filters will reflect those restrictions.

Before using this tool, decide if you want the initiation email from the review to be sent when the participants are added, or if you want to send it later using the email campaigns tool. If you don’t want the initiation email from the review to be sent when the participants are added, make sure you disable it within the review.

 
 

There are 4 steps to adding participants to a review in bulk -

  • Step 1: Select the review cycle
  • Step 2: Define the participants
  • Step 3: Check the list of participants
  • Step 4: Complete the process to add the users to the review
 

Step 1: Select the review cycle

 

Select the review name from the drop-down list (1) then click on the green ‘select’ button (2).

Step 2: Define the participants

 

Selecting the review cycle brings up the filters that allow you to define the participants who will be added to the review. You can filter all active user accounts by role, department, location and any custom employee attributes that you may have set up.

For each filter type that you want to use for selection, select ‘specific’ from the first drop down list (1) then select the required values from the second drop-down list (2).

When you have finished selecting the filters, click on the green ‘filter’ button (3).

Step 3: Check the list of participants

 

Clicking the green ‘filter’ button will bring up a list of user accounts that fit the selection criteria, shown in last name order.

Anyone who is already on the review will have a note ‘Already enrolled’ next to their name.

Click the ‘check all’ box (1) then go through the list un-checking anyone who you want to exclude from the review.

Then click the green ‘confirmation’ button (2).

 

Step 4: Complete the process by adding the users to the review

 

Clicking the green ‘confirmation’ button will come up with a panel listing out the participants you are about to add to the review.

If you are happy with the list of participants, click on the green ‘add users to review’ button (1).

 

The participants will be added to the review and a success notification will be displayed, with confetti!

You can then go into the review (via module manager / reviews) and check the list of participants in the review’s participants tab.
