How to use competencies

Competencies allow you to define capability requirements which can then be aligned to role profiles.

The competencies for each role profile can then be further defined by adding a detailed description of their individual elements.

How to define the role profiles

Role profiles are broad job descriptions, for example ‘Associate’. To work well with competencies, role profiles should have a common definition of competencies.

 

The role profiles should first be set up on the system as attributes.

 

To do this, go to the super user dashboard and select ‘settings’ from the menu on the left hand side (1) then go to the ‘attributes’ tab (2).

Any role profiles that are already set will be listed here (3).

You can edit existing role profiles by clicking on the ‘edit’ button (4) or add new role profiles by clicking on the green plus button (5).

Clicking on the ‘edit’ button or the green plus button will bring up the ‘add/edit attribute’ side screen.

When adding a new role profile, set the attribute type to ‘role’ (1).

Give the role profile a name (2).

When editing an existing role profile, you can add filters which will allow you to target review inputs to only show for users with a matching role, group or location (3).

When you have finished making your amendments, click on the green ‘save’ button to save your changes (4) or click on ‘cancel’ to cancel them (5).

You can also remove role profiles here by clicking on ‘remove attribute’ (6).

How to define the competency names

 

The competency names also need to be set up on the system as attributes.

To do this, as for role profiles go to the super user dashboard and select ‘settings’ from the menu on the left hand side then go to the ‘attributes’ tab.

Scroll down to find any existing competencies (1). You can edit existing competencies by clicking on the ‘edit’ button (2) or add new competencies by scrolling up and clicking on the green plus button at the top of the page.

As for role profiles, clicking on the ‘edit’ button or the green plus button will bring up the ‘add/edit attribute’ side screen.

When adding a new competency, set the attribute type to ‘competency’ (1).

Give the competency a name (2).

When you have finished making your amendments, click on the green ‘save’ button to save your changes (3) or click on ‘cancel’ to cancel them (4).

You can also remove competencies here by clicking on ‘remove attribute’ (5).

Add competency details for each role profile

 

Once the role profiles and the competency names have been added to the system, you can enter the competency details for each role profile.

To do this, go to the super user dashboard and select ‘settings’ from the menu on the left hand side (1) then go to the ‘role profiles’ tab (2).

Click on the ‘select role profile’ drop down and choose the role profile for which you are setting up competency details (3).

You can add competencies from the list by choosing them from the ‘add new competency alignment’ drop-down list (4) then clicking on the green Add button (5).

Once a competency has been added for the role profile, click on the input field below it to activate the editing icons (6). Add the details then click ‘save’ or ‘cancel’.

You can remove competencies from the role profile by clicking on the bin icon (7).

Reference competencies within reviews

 

You can set up a competency rating grid within a review that allows the participant to rate the individual competencies.

If you click on an information button next to each competency, a pop-up screen will appear with the role-specific details.

If you do not want to rate the individual competencies, but want to show the detailed role-specific descriptions within the review, you can set up a competency grid with a rating scale that shows no input.

To do this, first create a rating scale with just one label with no name or description.

Then in the review, set up a competency rating grid with no slugs and rating scale = BLANK (1 point scale).

The competency rating grid will show a list of the competencies for that role profile with an i button next to each one containing the details, but there is no input.

Here is how it looks in the review. There is a comment field above and the ratings grid is just used for reference. As with the rating grid, if you click on an information button next to each competency, a pop-up screen will appear with the role-specific details.
